1. Acceptance of Terms
- Agreement Requirement: By accessing the platform for the first time, users must agree to this policy. This agreement is required to use the platform.
- Policy Updates: Users will be notified of any changes to this policy. Continued use of the platform after such changes indicates acceptance of the updated terms.
2. User Conduct
- Appropriate Use: Users must engage with the platform in a professional and respectful manner. Any behaviour that could be deemed offensive, unlawful, or harmful is strictly prohibited.
- Prohibited Actions: Users must not attempt to access or interfere with other users’ accounts, introduce malicious software, or engage in any form of unauthorised access.
3. Data Privacy and Security
- Personal Data Collection: Users acknowledge that their personal data, including name, email address, and log data (such as course interaction and assessment scores), will be collected and processed in accordance with the Data Protection Policy of What2Learn Ltd. This data is essential for measuring user progress and enabling successful course completion.
- Cookies and Web Beacons: The platform uses session cookies, which are generated when a user logs into the system. These cookies are essential for maintaining session integrity and are deleted upon logout. Users may disable cookies via their browser settings, but doing so may prevent them from recording scores and completing courses.
- Data Retention: Unless a deletion request is made, user data will be retained as long as the account is active or for as long as necessary for operational purposes.
- Data Security: All user data is stored securely within the EU, using Amazon Web Services (AWS) in Ireland, which complies with GDPR regulations. HTTPS encryption is used throughout the platform to protect data during transmission. Daily backups are maintained to ensure data can be restored in the event of a technical issue or breach.
- Access to Data: Only authorised What2Learn Ltd staff, who are trained in data protection, can access user data. In cases where organisations sign up for a group package, an identified administrator can access user data for staff within their own organisation.
4. Course Participation
- Active Participation: Users are expected to fully participate in their enrolled courses, including completing all required assignments and assessments within the designated timeframes.
- Academic Integrity: Users must adhere to principles of academic integrity, avoiding plagiarism, cheating, or any other forms of academic dishonesty. All work submitted must be the user’s own.
5. Use of Integrated Services
- Optional Services: Users who choose to connect via Google or Microsoft services consent to the platform accessing basic profile information for the purpose of tracking progress through the learning materials. This integration uses OAuth 2 for user authentication, ensuring compliance with Google’s and Microsoft’s policies.
- Revocation of Access: Users can revoke access to these services at any time via their account settings. However, revoking access might impact their ability to log in and access the platform.
- Data Privacy with Integrated Services: What2Learn Ltd does not have access to users’ Google or Microsoft passwords, and users are advised to review the privacy settings and policies of these third-party services to manage the information shared with What2Learn CPD.
6. Intellectual Property
- Prohibited Use: Users are prohibited from reproducing, distributing, or creating derivative works from the platform’s content without explicit permission from What2Learn Ltd.
7. Termination of Access
- Breach of Policy: What2Learn Ltd reserves the right to terminate or suspend a user’s access to the platform if they breach this policy.
- Consequences of Termination: In the event of termination, all data associated with the user account may be deleted, and the user will lose access to all courses and materials.
8. Limitation of Liability
- Platform Availability: What2Learn Ltd strives to ensure the platform is available and functioning correctly. However, users acknowledge that there may be occasional interruptions due to maintenance or technical issues.
